Catalog, session packages, payments and a calendar in one therapy booking platform

People choose a psychologist on their own, buy a trial session or a package, pay by card and book a slot in the psychologist's calendar. Psychologists and admins work in their own portals. We built the product from scratch and keep developing it.

What we built: the server, the client, psychologist and admin portals, payments, the calendar, emails and the modules for the client's marketing site.

Where the client started

The company was launching an online platform for psychological support. It wanted people to choose a psychologist on their own, buy a trial session or a package, pay by card and book a time without writing to an admin. Psychologists and admins needed their own portals, and the owner needed to see which button on the site each payment came from.

The constraint

The client's marketing site lives separately, on a website builder, and people have to get from it to booking without extra steps.

What the system does

  • Matches people with a psychologist through a quiz on the site and shows prices and free slots, so they book on their own without writing to an admin.
  • Pulls the real free hours from each psychologist's Calendly and books the session, so there are no double bookings and no back-and-forth over times.
  • Takes card payments online and confirms them itself. Unfinished orders close after a day, so reports don't fill up with stuck payments.
  • Sells a trial session and packages, including renewals and upgrades to a bigger package with the same psychologist, with a personal promo code for the first purchase.
  • Handles individual and couples therapy with different lengths and prices, and won't sell a couples package with a psychologist who doesn't work with couples.
  • Gives everyone a portal of their own. Clients see their sessions and packages, psychologists their schedule, and admins the catalog, prices, orders, subscriptions and access rights, with a change history.
  • Sends emails about payment, booking and access on its own, invites new psychologists to their portal and, after a trial session, offers the client a package.
  • Shows the funnel from a click on the site to payment, tagged with the button the person came from, so ads are judged by the payments they bring.
  • Books the trial session right after payment, and clients and psychologists restore access from one screen, so no booking gets lost between steps.

The architecture in plain terms

One app for three roles: client, psychologist and admin. The booking windows are embedded right in the client's site. A new version goes out only after it has been checked in a test environment.
